Talisman Tutoring – Terms & Conditions

By commencing or continuing with tuition, you agree to the following Terms and Conditions, including the holding of relevant information about you and your child(ren).

1. Tuition Sessions

  • Sessions are typically 1 hour in length and take place weekly at the same time in your home.
  • Bespoke lesson lengths can be arranged upon request.
  • All sessions are planned and include the necessary materials.

2. Fees

  • Fees are paid weekly, upon completion of the lesson, and are non-refundable.
  • Payment is accepted via cash or BACS transfer.
  • A late payment fee of approximately 1.5% will be applied to invoices unpaid within 24 hours of the due date to cover administrative follow-up.

3. Non-Payment of Fees

  • Talisman Tutoring reserves the right to withhold tuition if fees are unpaid or if there is a persistent failure to pay on time.

4. Cancellations

  • You may cancel one session per term with a minimum of 48 hours’ notice. Further cancellations may be chargeable.
  • Please give as much notice as possible for any cancellation.
  • If I need to cancel a session, I will provide as much notice as possible. Cancelled sessions on my part will be rescheduled or deducted in full from the next invoice.

5. Term Dates

  • Tuition generally follows the City of Doncaster Council term dates. (Please note academies, faith, independent, and international schools may differ.)

6. Ad Hoc & Holiday Lessons

  • Ad hoc sessions may be arranged subject to availability.
  • If you wish to be on the reserve list, please let me know along with your flexibility and required notice period.
  • Holiday lessons can be arranged – please contact me in advance.

7. Stopping Tuition

  • If you wish to stop tuition, please provide 2 weeks’ notice before the end of the current half term, with tuition concluding at the end of that block.

8. Behaviour & Expectations

  • Parents are responsible for ensuring their children behave appropriately.
  • Abusive or discriminatory behaviour will not be tolerated. I reserve the right to cancel bookings where such behaviour occurs, including from parents or students.

9. Online Lessons – Student Expectations

Students are expected to:

  • Log in on time.
  • Attend from a shared room (not bedrooms) for safeguarding, with doors open and parents nearby if unavoidable.
  • Have webcams turned on (unless agreed otherwise).
  • Dress appropriately (e.g., no pyjamas or swimwear).
  • Ensure all equipment is charged and functional before the lesson.
  • Minimise distractions (phones on silent, etc.).

10. Online Group Lessons – Additional Expectations

  • Webcams must be on, unless there is a valid reason (e.g., poor connection).
  • Backgrounds must be appropriate (no identifiable school logos, certificates with full names).
  • No sharing of personal details.
  • Zoom names should include first name and first initial of surname only.

11. Snacks

  • Snacks should be consumed before or after lessons unless medically necessary. If needed during a session, they should be quiet and non-disruptive.

12. GDPR (Data Protection)

  • Under GDPR, I must inform you that I hold personal data as the data controller:

    Information held may include:
    • Name, age, school year
    • Contact information (phone/email)
    • School name, exam boards (if relevant)
    • Notes on SEN/medical needs
    • Session booking details
    • Student progress and lesson plans
  • Data is used solely to provide tuition and manage records.
  • Information is stored securely (locked cabinet, password-protected devices).

13. Communication

  • I communicate with parents/guardians only.
  • Consent is required before tuition begins.
  • Booking/invoice updates are shared via email, and occasionally by text or phone.

14. Student Progress & Parental Involvement

  • Parents should provide any important information (SEN, medical, etc.).
  • Online parents may join at the end of a session for feedback – please inform me in advance.
  • Feedback is given within the session time.
  • No written reports are provided.

15. Limitation of Liability

  • While every effort is made to support academic progress, no guarantees can be made regarding results.
  • I accept no liability for any direct or indirect loss or damage resulting from the use of my services or materials.
